Thomas P. Miller and Associates (TPMA), a growing national economic development, workforce development, and evaluation consulting firm, is seeking a team-oriented professional to assist with the firm’s administrative operations and business development needs. The Operations/Business Development Coordinator will support the Controller, Director of Business Development, and all current staff as needed.

The ideal candidate will have a strong work ethic, attention to detail, a sense of urgency, and excellent communication and organizational skills. The Operations/Business Development Coordinator will report to the Controller and will have the opportunity for ongoing knowledge and professional development.  

Job Responsibilities

Job responsibilities include, but are not limited to, the following:

  • Provides administrative and business development support in a team environment.

  • Interacts with high level business leaders and vendors in a professional and effective manner.

  • Supports internal and external managers and clients.

  • Updates the customer relationship management (CRM) system.

  • Assists with onboarding new staff.

  • Responds and follows up on client requests.

  • Prepares and distributes correspondence, memos, letters, reports or other documents as requested.

  • Supports web-based research to identify RFPs/RFQs from local, regional, and state entities.

  • Assists with preparation for business development-related meetings including finalist presentations and conference presentations.

  • Coordinates ongoing updates to staff biographies, project descriptions, and references.

  • Schedules proposal production and submission with designated proposal managers based on established processes including formatting and packaging of final proposals.

Other duties as needed and assigned:

  • Coordinates meetings, prepares materials, and reserves/prepares facilities.

  • Prepares financial spreadsheets and provides accounting assistance.

  • Scans/files documents collected from on-site events and meetings.

  • Coordinates weekly TPMA internal newsletter.

  • Maintains newsletter contact list.

  • Organizes office supplies/pick up deliveries from lobby.

  • Makes room arrangements/reservations, order food, beverages, etc.

  • Prepares meeting materials for events and retreats.

  • Escorts visitors from lobby.

  • Maintains Kitchenettes.

  • Must possess the ability to solve problems quickly and efficiently.

  • Have a strong knowledge of general business and corporate cultures.

  • Handle highly sensitive, confidential and non-routine information appropriately.

  • Be a self-starter with excellent anticipation skills; problem solving; and follow up.

  • Demonstrate dependability and a sense of urgency about getting results.

  • Possess strong organizational and business writing skills.

  • Have efficient project management skills.

  • Possess internet research skills via online databases, publications and company websites.

  • Be comfortable working with people at all organizational levels.

  • Adept at working in a sometimes hectic, high pressure environment, and able to prioritize a variety of time-sensitive tasks.

  • Must have excellent judgment; be an independent thinker and resourceful.

  • Operate as a team player with a positive attitude.

  • Possess the highest degree of integrity, professionalism, diplomacy and discretion.

  • Requires intermediate to advanced knowledge of MS Office Suites, Adobe Creative Suites, Marketing and Graphics software as well as accounting software. 

  • Knowledge of QuickBooks, QuickBase, software systems a plus.

Education and Experience

  • Bachelor’s Degree and/or three years of experience in an administrative or operations position.
